Extra capacity under your brand — without another hire

White-label bookkeeping, accounts and tax preparation for accounting and CPA firms. Your clients stay yours; we work in the background, supervised by your team.

01. Busy season should not mean turning work away

Every practice reaches the same ceiling. The client book grows, the deadlines stack up, and the hours in the week refuse to grow with them. Hiring is the obvious fix, but it is slow, expensive, and risky, especially for work that surges in busy season and quietens down afterwards. That leaves most firms with two poor options. Work the team into the ground, or say no to good revenue.

We are the third option. We give you capacity you can turn up when the work spikes and turn down when it settles, without carrying a bigger payroll all year round. When a large client lands, when a deadline looms, or when someone is off, the extra hands are already there. You take on more, protect your team from burnout, and stop leaving revenue on the table.

The work is done by qualified accountants with experience across UK, EU and US practice, so what comes back to you is ready to review, not a rough draft your seniors have to rebuild.

02. How the white-label model works

You keep the client relationship, the branding and the final sign off. We do the production work behind the scenes. Your client sees your firm’s name on everything and emails your staff with questions. They never see us and never deal with us. Nothing leaves the building under our name. The review, sign off and filing are always yours.

In practice, we become a quiet extension of your own team. We work inside your files and to your templates, so the output looks and reads like your own staff produced it. Your reviewers pick up clean, well documented work and move it forward. The client experience does not change, except that deadlines get easier to hit.

This is the important boundary, and we hold to it firmly. We prepare and process. We do not act as the accountant of record, we do not sign or file under our own name, and we do not hold ourselves out to your clients. Professional responsibility stays exactly where it belongs, with your practice.

03. What we take on

We cover the routine production work that eats your team’s time.

  • Bookkeeping. Transactions recorded and reconciled, ledgers kept current, ready for review.
  • Management and year end accounts preparation. Month end close, management reporting, and a year end file prepared to a review ready standard, with clear working papers behind every figure.
  • Payroll processing. Pay runs, payslips and reports prepared up to the point of submission, which your firm or your client’s agent then makes.
  • Tax preparation support. Workings and draft returns prepared to your house standards, for your review, sign off and filing.

We do not take on any work that requires independent sign off or examination. That stays with your firm. We handle the preparation underneath it.

04. Confidentiality and control

Handing over client data is not something any firm does lightly, so we make it easy to feel comfortable. We sign a non disclosure agreement as standard, limit access to only the people working on your jobs, and handle data in a way that meets GDPR requirements for your EU clients. We are happy to walk you through exactly how your clients’ data is protected and where it is processed. For most firms, that conversation is what seals the decision. Our Security and Confidentiality page sets out our approach in full.

Control stays with you throughout. You set the scope, the standards and the deadlines. You review everything before it moves. And because we work inside your systems, you can see the work as it happens rather than waiting for a handover.

05. How firms usually engage

Most firms start with a dedicated resource, a named person or small team working only for you, billed monthly, so it feels genuinely in-house. It gives you predictable, sticky capacity you can plan around. Others start with overflow on a project or per job basis to test us during a single busy period, then scale up once they trust the work. Both models are easy to grow or flex. Our Engagement Models page explains each option in detail, and we are happy to recommend a starting point based on your situation.

06. Why firms choose Mepa

Three things tend to matter most to the firms we work with. First, the work is done by qualified people, so the drafts that reach your reviewers are genuinely review ready and do not create more work than they save. Second, we understand and respect the boundary, which means we will never drift into signing, filing or client contact that could create risk for your practice. Third, we are steady. We work to a schedule, keep clear working papers, and communicate queries in one tidy list rather than a scattered stream. Dependable capacity, delivered quietly, is the whole point.

There is a commercial angle too. Because the work sits on an offshore cost base, you can either widen your margin on existing clients or take on price sensitive work you would otherwise have to decline. And because the capacity flexes, you are not carrying the cost of a permanent hire through the quiet months. For most firms, the arrangement pays for itself in a single busy season, which is why so many start with a small test and then expand.

07. What to say if a client asks

Some firms hesitate only because they are unsure how to explain the arrangement if a client asks where the work is done. The answer is straightforward. A preparation partner is part of how your firm produces its work, much like the software or specialist support you already use. What the client buys is your firm’s judgement, your review and your sign off, and none of that changes. If asked, honesty paired with clear facts about data protection and your firm’s continued responsibility turns a potential worry into a non issue. Firms that handle this calmly find clients care far more about accuracy, speed and price than about which desk the groundwork was done at.
